Maintenance

An agreed response time, not a promise

“As soon as possible” is not a service. Maintenance becomes a service when every severity level has a written response time, and every request has a record you can review.

How maintenance works here

Maintenance here has two halves. The reactive half: a member of your staff or a supervisor raises a request in the client portal, it is classified by severity — critical, major, minor — and the response-time clock agreed in the contract for that severity starts. A dead air-conditioner in a meeting room is not a blown bulb in a store cupboard, and the contract recognises the difference.

The preventive half: a written schedule that runs so nobody has to call you — air-conditioning filters before summer, distribution board inspections, leak checks, lighting checks. Preventive maintenance is what reduces faults; reactive maintenance is what handles them when they happen anyway.

What the maintenance service includes

  • Electrical work: distribution boards, lighting, sockets, breakers
  • Plumbing: leaks, sanitary fittings, supply and drainage
  • HVAC servicing and filter changes on a preventive schedule
  • Door, lock and office furniture repair
  • A defined response time per severity, written into the contract
  • A full record per request: who raised it, who did it, when it closed
  • Scheduled periodic preventive maintenance
  • Raising and tracking requests in the client portal

Questions about maintenance

What is the response time?

It is set in the contract per severity level, because what suits a twenty-person office differs from a five-floor headquarters. The principle is fixed: a written number per severity, tracked in the portal — never “as soon as possible”.

Is preventive maintenance included or extra?

Core preventive maintenance is included, and its scope widens in the higher packages. It is scheduled in advance and appears in the site calendar.

Who can raise a maintenance request?

Anyone you authorise, through the client portal. The request is logged with their name, the time and the severity, so it cannot get lost in a phone call or a message.

What about spare parts?

Consumables and small parts are included. Larger parts or out-of-scope work are quoted and approved by you before we proceed — nothing appears as a surprise on the invoice.
